AI Assistant Settings
Overview
Section titled “Overview”The AI Assistant provides intelligent extraction of invoice data from PDF documents and offers suggestions during invoice review. These settings control when and how AI is used.
Configuration
Section titled “Configuration”Navigate to Tapr Settings > AI & Extraction tab > AI Assistant section.
Enable AI Assistant
Section titled “Enable AI Assistant”When activated, AI-powered features become available in the invoice manager, including:
- AI extraction of invoice data from PDFs
- Line item suggestions and corrections
- Intelligent field validation
- Context-aware help
Confidence Threshold
Section titled “Confidence Threshold”| Setting | Default | Range |

The confidence threshold determines automatic processing behavior:
- Above threshold: Extracted data auto-populates; invoice can proceed without manual review
- Below threshold: Invoice is flagged for manual review; user must verify extracted data

Always Use AI for Non-E-Invoices

When enabled, PDFs lacking embedded structured data are automatically sent to AI for extraction, while e-invoices with valid XML bypass AI processing.
When disabled, all PDFs require manual data entry unless they contain structured e-invoice data.
How AI Extraction Works
Section titled “How AI Extraction Works”The system follows this workflow:
- Check for embedded XML in uploaded invoice
- If found, use structured e-invoice data directly
- If not found and AI is enabled for non-e-invoices, send to AI
- Perform confidence check on extracted data
- Auto-populate if above threshold; flag for review if below
Best Practices

Section titled “Confidence Threshold Tuning”Optimize by monitoring accuracy and adjusting accordingly:
- Increase threshold if too many incorrect extractions are auto-accepted
- Decrease threshold if correct extractions are unnecessarily flagged
Cost Optimization
Section titled “Cost Optimization”To reduce API costs:
- Encourage vendors to send e-invoices (no AI processing required)
- Use confidence thresholds to balance automation and accuracy
- Consider cost-effective models for initial extraction with premium fallback
Quality vs Speed
